An AI assistant for planning client sessions

Years of past sessions, case studies and notes were sitting in SharePoint. Now the team plans the next one with an assistant that has read them.

The situation

The team planned each client session more or less from scratch. The history of what had worked was all there, in SharePoint and in people’s heads, but nobody had time to dig through it every time.

What I built, and why

An assistant in Microsoft Copilot Studio, connected to the SharePoint libraries they already had. It reads past sessions, case studies and content documents, helps draft agendas, and suggests programs based on what went well before. It lives in Teams, where the team already works.

Why I did it this way

  1. Built in Copilot Studio

They’re a Microsoft shop and needed something they could look after without a developer. A custom retrieval system would have been more flexible and a lot more to maintain.

  2. Use the library you already have

Everything worth knowing was already in SharePoint. Pointing the assistant at those documents skipped building and filling a new knowledge base.

What changed

Planning now starts from what has worked before.

Client onboarding, from hours to minutes

Setting up a new client used to mean hours of folders and permissions assigned by hand. Now someone fills in a form, and a few minutes later everything is in place.
